Can external collaborators be invited to a team ?#
Yes it is possible, simply add them as members of your team. Please note however that due to an incompatibility with Microsoft 365, users with a CERN lightweight account will not be able to use Microsoft Teams for now. Instead, they should be registered with an email address which is not known to CERN.
How is the feedback survey used ?#
After the end of some Microsoft Teams calls (about 10% of them), you will be asked by the client to answer a short survey. Answers to this survey are used by CERN IT service administrators to detect quality issues, and are also sent (anonymized) to Microsoft to improve Microsoft Teams' calling and meeting experience. Please answer to as many surveys as possible, whether your experience was good or bad, especially during the pilot, this feedback is important!
I don't see the Outlook Add-in when scheduling a new meeting in Outlook ?#
The Outlook Add-in allows to attach a Microsoft Teams meeting to a meeting scheduled through Outlook. It appears as a toggle in the meeting creation window:
It is installed by default when you install the Microsoft Teams client on your desktop.
In case you have installed the Microsoft Teams client but the Outlook Add-in still does not show up, then please take the following steps:
- Stop Teams ("Quit Teams")
- Start Outlook
- Start Teams
- Restart Outlook
Alternatively, the meeting can also be scheduled directly from the Microsoft Teams client (calendar tab).
What peripherals should I use with Microsoft Teams ?#
Most USB headsets, cameras and speakerphones should work, those you use with Zoom, or used with Skype for Business for example. Microsoft has a web site where they advertise tested and recommended devices in various categories.
Where can I find information about personal data handling by the Microsoft Teams pilot service ?#

Why don't I find all of the features I was expecting to see in Microsoft Teams ?#
Some features may be missing due to the pilot limitations. Some others due to the license which was assigned to you. Pilot users by default get a Teams A1 license which provides Microsoft Teams basic features. Some advanced features are only available to Teams A5 licensees. CERN has a limited number of A5 licenses, which explains why they are not granted by default. If you need these extra features, don't hesitate to contact us and we will upgrade your license.
Why don't I see the Calendar icon in the left-hand side menu of my Microsoft Teams client ?#
This may happen if you do not have a mailbox on the CERN email service, but a simple redirection to an external email address. Microsoft Teams relies on an Exchange Online mailbox to handle calendar invitations created through the application, hence the absence of the menu item.
Can I anyway participate in a Microsoft Teams meeting if I am not part of the pilot and so do not have a Microsoft Teams license assigned ?#
Yes you can under these conditions:
- You can join the meeting as a guest, and for this make sure you either logout from Microsoft 365, or use a private window in your browser to connect to the meeting
- If the meeting is not organised by CERN:
- The external organisation must have activated anonymous connections on their Microsoft Teams tenant or have registered
